The pricing models you’ll see
- Per seat / month — the most common model; scales with practice size.
- Modules or feature tiers — a base price plus add-ons for video, billing or integrations.
- Free tiers — often for booking only, or as a limited entry point.
- Flat rate — one fixed price bundling several features; easy to budget, no surprises.
What really drives the price
Not the brand, but the scope:
- A full practice-management system (charting, notes, billing, integrations) sits at the top end — you pay for depth you should actually use.
- A focused bundle (scheduling + secure video + invoicing + profile) costs less because it deliberately does less, but covers the essentials.
- Single tools look cheap but add up: a booking tool, a video license and an invoicing tool together hit $40+ quickly — and don't talk to each other.
Is there free practice software?
Partly. For booking alone, there are solid free options. But once a secure video room, proper invoicing or a professional profile come into play, the free tier usually ends — those features carry real costs (hosting, maintenance) that serious providers don’t give away. A “free” that promises all of it is worth a second look.
When each option makes sense
- Few clients, little online work → a free calendar is often enough.
- Regular online sessions + your own invoices → a focused bundle saves time and several subscriptions.
- Heavy documentation, insurance billing, a team → a full practice-management system is worth the higher price.
A simple test: if software prevents one cancellation a month, or saves an hour of admin a week, it usually pays for itself.
How Kaufmann Health fits
Kaufmann Health bundles scheduling, secure EU-hosted video, invoicing and a directory profile into one flat monthly rate (€29/month on the Starter tier; free for 30 days). The basic directory listing is free. That’s cheaper than three separate subscriptions and simpler to budget than a modular system — but it isn’t a full practice-management system with clinical charting and insurance billing. If you need that, a dedicated platform is the better fit.
